    Position Summary:
    Perform administrative function.
    Duties and Responsibilities:
    • List down specific functions, roles and responsibilities.
    • Ensure availability of office supplies regularly used/needed by the department and take prompt action for services required by the department such as repairs, maintenance and upgrade of office furniture and equipment
    • Collate, draft and finalize ACES’ Monthly Report for submission to Management
    • Update and file documents
    • Handle all payments of purchases and billings
      o For Statements of Account (SOA’s) charged to ACES cost center. 
      o Ensure prompt processing of payment for SOA’s from external counsels, TradeMark/Copyright related Fees and other payables upon approval by division head
    • Assist Finance Officer and Department Head in the preparation, presentation and defense of the division’s annual budget. Coordinate with FO regarding monitoring of expenses against budget
    • Monitor department’s general and administrative expenses to ensure that expenses are within budget
    • Handle the department’s petty cash fund and replenishment of the same
    • Send reminders to ACES and non-ACES staff on their application of leaves or TJF’s in order to avoid salary deduction. Send to HR the daily time records of executives of ACES Services.
    • Inform/update the department of new company policies and procedures by attending trainings/ seminars organized by HR, Finance, IT and other departments.
    • Take active participation when there are department/company events/programs/project.
    • Coordinate with HR in cases of personnel movement and new hires within the department.
    • Assist new employees (Regular, Consultants, Contractual and OJT’s) in their requirements for employment and application/procurement of access badge, cellphone line, car plan, parking enrollment, etc.
    • Assist resigned employees in processing their clearance and final pay.
    • Train and supervise Contractual staff and On-the-Job Trainees on the performance of assigned tasks.
    • Arrange accommodation and travel requirements of the department during out of town conference/seminar.  Coordinate with HR and inform/update the department on the agenda/schedule of the conference/seminar.
    • Perform secretarial functions when a staff is on leave
    • Perform other tasks that may be assigned from time to time


    • Bachelor’s Degree or equivalent in relevant work experience.
    • 2 years previous work related experience required in administrative function
    • Excellent computer skills including Microsoft Office applications.  Demonstrated excellence in time management skills.
    • Excellent interpersonal, written, and oral communication skills.
    • Ability to work in a team fostered environment. 
    • Ability to work in a multi-tasked environment.
    • Ability to prioritize and organize work.
    • Ability to adapt to a flexible schedule.
