RESPONSIBILITIES

    The Administrative Officer's duties and responsibility includes providing administrative support to ensure efficient operation of the office. S/he will support managers and employees through a variety of tasks related to organization and communication. The admin job scope includes communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner.

    DUTIES AND RESPONSIBILITIES

    • Provide administrative/secretarial support to the Al Department
    • Arrange and manage meeting schedules
    • Monitor incoming and outgoing communications (calls, documents, etc.)
    • Prepare and arrange travel documents (i.e. authorization to travel, per diem requests, accommodation and flight booking requests, etc.)
    • Handle liquidation, cash advances, reimbursements, etc.
    • Submission of Daily Time Log and Leave forms
    • Assists in preparing/ requisition of documents/materials (as needed) and ensures proper filing of documents
    • Provides administrative support to the division
    • Assists in preparing/requisition/receiving & routing of documents/materials (as needed) and ensures proper filing of documents i.e. leaves, TKJF, contracts, foreign travels
    • Ensures cascade of important emails/reminders/announcements AI Department staff (i.e. timekeeping, general assembly schedule, HR Cascades, etc.)
    • Ensures all foreign travel requirements, flight and hotel bookings are properly booked
    • Handles financial administration of the division
    • Requests necessary cash advance for per diem and contingency
    • Timely processing of payments of petty cash liquidation monthly
    • Ensures payment of Voice Over talents
    • Ensures proper management and requisition of assets and office supplies
    • Ensures proper maintenance of assets (editing machines, computers, etc.)
    • Ensures timely requisition of office supplies to ensure smooth operations
    • Ensures all required budgeted CAPEX are requested and delivered
    • Handles coordination/invite of attendees, venue sourcing/reservation and food requirements for planning sessions, general meetings and other meetings for AI Department
    • Provides general assistance to the whole marketing staff in day-to-day operations i.e. TRR, PR/MR, RMS, SRO, Eform, VRS, Kapamilya Portal requests etc.
    • Performs other functions that may be assigned by the immediate superior from time to time

REQUIREMENTS

    • Bachelor's Degree
    • Fluent in English and Filipino
    • At least 2 years work experience
    • Proven admin or assistant experience
    • Knowledge of office management systems and procedures
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills
