RESPONSIBILITIES
Provides coordination, documentation, administrative and secretarial services to the Legal Officers in the performance of legal and compliance work and administrative functions.
KEY DUTIES AND RESPONSIBILITES
- Legal Secretary
- Prepare/process contracts, agreements, pleadings, reports, and other legal documents; minutes of meetings, secretary’s certificates, board resolutions, general information sheet and other corporate reports, applications and documents; memoranda and correspondences, for the Legal Officer’s review and in accordance with the directions of the Legal Officers
- Facilitate timely and complete submission/filing of reports, pleadings, applications and queries;
- Perform the following secretarial duties:
- Assist clients in their request for legal assistance and legal requirements with Legal Officers;
- Assist the Legal Officers in preparation, review, execution, routing for signature, and filing copies of contracts, agreements, documents and the like
- Assist the Legal Officers in researching/gathering pertinent data/materials;
- Review legal documents and coordinates with clients to ensure that all documents are complete and accurate, under the supervision of the Legal Officers;
- Attend to client’s minor concerns/queries, upon the direction of the Legal Officers;
- Handle routine incoming and outgoing correspondences;
- Receive and send out documents on behalf of the lawyers;
- Maintain an updated, complete and accurate list of all requests received from clients and work/documents sent by the lawyers to the clients, and generates a monthly report hereof;
- Handle timely and proper internal filing of documents;
- File, maintain, and keep an orderly, updated, complete and accurate list/file of contracts and other documents and office records of all clients of the lawyers;
- Arrange and coordinate meetings and travel requirements of lawyers;
- Facilitate and handle routing of documents for transmittal or signature of relevant parties;
- Facilitate notarization, legalization, apostilling and/or consularization of documents; and
- Perform other duties and responsibilities that may be assigned from time to time by the lawyers.
- Administrative
- Request and monitor office supplies and CAPEX requirements. Coordinate with various divisions for the maintenance and repairs of office furniture and fixtures, office equipment, etc. Handle the Legal library.
- Arrange travel requirements during out of town meetings/hearings. Coordinate with in-house travel agency for transportation and accommodation.
- Attend for the department, Finance, IT or HR meetings, regarding implementation of new systems and procedures.
- Assist lawyers in processing appeal bonds for various cases and ensures the timely delivery of the bonds
- Facilitate the filing of various legal documents with various government agencies, such as but not limited to the General Information Sheet (“GIS”) and trademark applications.
- Handle all payments of purchases and billings from external counsels/ service providers
- Prepare Requests for Payment for billings from external counsels in the Philippines, as well as regulatory, litigation and other payables upon approval by division head. Transmit Statement of Accounts/invoices (“SOAs”) approved for payment to other divisions/subsidiaries for various cases. Assist external counsels on following-up payments for their SOAs. Prepare report on payments made to external counsels as requested and assist in the reconciliation of unsettled accounts
- Monitor department’s general and administrative expenses to ensure that expenses are within budget. Coordinate with FO regarding monitoring of expenses against budget.
- Handle the department’s petty cash fund and replenishment of the same. Ensure that all reimbursements are valid
- Assist the lawyers in their timekeeping requests (Leaves/TJFs & change shift). Send reminders to legal staff on their application of leaves or TJFs to avoid salary deduction.
- Inform/update the department of new company policies and procedures
- Coordinate with HR in cases of personnel movement and new hires within the department
- Arrange for interviews of legal division applicants. Assist new hires in their pre-employment requirements
- Supervise messengers/clerks/OJTs regarding various office procedures
- Source for seminars to be attended by lawyers for the completion of their required 36 units of MCLE (Mandatory Continuing Legal Education) every three years.
REQUIREMENTS
- College graduate
- Minimum of 5 years’ experience, preferably in a law firm
- Has good verbal, written and interpersonal communication skills
- Technical skills: MS Office (Word, Excel, Powerpoint, Sharepoint, Teams); Zoom
