Description
JOB RESPONSIBILITIES
Primarily responsible for the effective and efficient provision of administrative/HR support services to BB and the proper handling of BB revolving funds.
Financial Management
- Revolving Fund: Handles BB revolving fund following accounting rules and regulations; Disburses, liquidates, and replenishes revolving fund; Prepares reports on the utilization of funds
- Other program financial requirements: Review requests for payment, Cash advances and other financial documents, process approvals via e-mail and IAS and and ensures end-to-end transactions are completed (including collection of receipts).
- Ensures all financial requirements of the unit are in line with existing government laws and ABS-CBN Foundation policies
Procurement
- Monitors materials request from Bantay Bata Team
- Coordinates with procurement, asset and finance for the purchase of items
- Prepares purchase requisition, request for payment, and other documents necessary to support various transactions.
Human Resource (HR) Services
- Coordinates with HR Department for the timely availing of employee salary and benefits
- Responsible for leave administration and personnel attendance monitoring
- Submits payroll update and bi-monthly Attendance Report
Requisition, Inventory, Maintenance of Office Supplies
- Ensures the availability of BB supplies and forms; prepares requisition request and handles pick-up of supplies from ABS-CBN and distribution of the same to the staff
Office Maintenance
- Oversees BB’s office upkeep; reports maintenance/general services requirement of BB; coordinates with the ALKFI units and with ABS-CBN on various concerns of BB
- Oversees the proper maintenance of the centralized equipment (printer, scanners, etc); monitors usage
Filing of Documents
- Establishes/ implements BB records Management System involving the receipt, filing, retrieval, issuance, updating and disposal of records/documents
- Maintains logbook for incoming and outgoing documents and for the routing of the same to all concerned
Logistical Support
- Ensures timely request of vehicles, drivers, maintenance and/or housekeeping in line with the requirement of program activities
- Attends to the messengerial requirements of the program
Policy/Systems Administration/Compliance
- Recommends appropriate policies/systems to promote the unit’s operational efficiency
- Adheres to AFI’s Vision-Mission-Values and complies with AFI/HRD policies, systems, and audit recommendations
- Ensures strict compliance with AFI’s Child Protection Policy and PSEA Policy
- Complies with AFI’s performance management system
- Adheres to all pertinent laws and requirements of government regulatory bodies related to child welfare and protection, resource generation, and mobilization

- Perform other job-related duties as assigned within the scope of practice
QUALIFICATIONS
Knowledge
- Office Administration
- Finance Processes including IAS
- HR processes
- Government laws/rulings/issuance relevant to BB operations
Experience/Educational Attainment Required
- BS Office Administration, BS Business Administration or related field
- At least two (2) years of relevant experience
Skills

- Proficiency in Microsoft Office, Canva and other similar software
